Fields: Add/Edit Workflow

Workflows consist of a three-way combination of Acquisition Type, Resource Format, and Resource Type. Workflows also consist of one or more steps that are assigned to user groups for completion. Resources that match a workflow's three-way combination are automatically assigned the workflow's steps.

Resource Entry Requirements

Acquisition Type

Allows you to select an Acquisition Type that is used as one part of a three-way combination, along with the values for Resource Format and Resource Type. This three-way combination determines which resources are assigned this workflow's steps. Acquisition Types can be configured in the Acquisition Type tab (for more information, see).

Format

Allows you to select a Resource Format that is used as one part of a three-way combination, along with the values for Acquisition Type and Resource Type. This three-way combination determines which resources are assigned this workflow's steps. Resource Formats can be configured in the Resource Format tab (for more information, see).

Type

Allows you to select a Resource Type that is used as one part of a three-way combination, along with the values for Acquisition Type and Resource Format. This three-way combination determines which resources are assigned this workflow's steps. Resource Types can be configured in the Resource Type tab (for more information, see).

Workflow Steps

Step List

The list of steps begins with empty fields that are used to add new steps, followed by any existing steps.

The list displays this information about each step:

Option

Description

Name

Specifies the name of new step, or displays the selected name of an existing step. This name is displayed on a resource's Workflow tab and on users' My Queue pages. Choose a name that conveys what actions a user should take to complete the step.

Approval/Notification Group

Specifies the user group that is assigned to this step. This user group will receive notification emails whenever this step is ready to be completed.

Parent Step

Specifies a parent step that is prerequisite to this step's completion. Parent steps can only be selected from existing steps.

Management Options

These options let you add, reorder, or delete steps in a workflow.

Add

After typing a name for a new step, lets you add a new step to the list of steps.

Remove this step

Removes a step from the list.

Move Step Up

Moves a step up one position in the list.

Move Step Down

Moves a step down one position in the list.
